Job Summary:
Magic Clean is seeking a detail-oriented and organized Accounts & Administration Officer to oversee financial transactions, office administration, and general business operations. The ideal candidate will have a Bachelorโ€™s degree in Accounting, Finance, or a related field and experience in financial management and office administration. This role ensures efficient day-to-day operations and compliance with company policies while supporting the Managing Director in decision-making and strategic planning.

 

Key Responsibilities:
1. Financial Management & Accounting

  • Maintain accurate financial records, including invoices, receipts, and payments.
  • Process accounts payable and receivable, ensuring timely payments and collections.
  • Prepare financial reports, bank reconciliations, and budget forecasts.
  • Assist with payroll processing and employee expense reimbursements.
  • Ensure compliance with tax regulations and financial policies.

 

2. Office Administration & Operations

  • Manage office supplies, equipment, and general office operations.
  • Handle correspondence, scheduling, and document management.
  • Ensure smooth day-to-day administrative functions.

 

3. Human Resources Support

  • Maintain employee records, contracts, and HR-related documentation.
  • Assist in recruitment, onboarding, and training processes.
  • Support employee engagement initiatives and HR compliance.

 

4. Compliance & Risk Management

  • Ensure adherence to company policies and procedures.
  • Assist with internal and external audits.
  • Handle confidential information with discretion.

 

5. Reporting & Coordination

  • Prepare financial and operational reports for the Managing Director.
  • Coordinate with external stakeholders, such as auditors, banks, and suppliers.
  • Support management in strategic decision-making.

 

6. General Support & Other Duties

  • Provide administrative and accounting support to various departments as needed.
  • Identify areas for process improvement and operational efficiency.
  • Perform other tasks as assigned by the Managing Director.

 

Qualifications & Skills:

  • Bachelorโ€™s degree in Accounting, Finance, or a related field.
  • 3+ years of experience in accounting and office administration.
  • Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • High level of accuracy, attention to detail, and problem-solving skills.
  • Ability to work independently and as part of a team.
