Job Summary:
Magic Clean is seeking a detail-oriented and organized Accounts & Administration Officer to oversee financial transactions, office administration, and general business operations. The ideal candidate will have a Bachelorโs degree in Accounting, Finance, or a related field and experience in financial management and office administration. This role ensures efficient day-to-day operations and compliance with company policies while supporting the Managing Director in decision-making and strategic planning.
Key Responsibilities:
1. Financial Management & Accounting
- Maintain accurate financial records, including invoices, receipts, and payments.
- Process accounts payable and receivable, ensuring timely payments and collections.
- Prepare financial reports, bank reconciliations, and budget forecasts.
- Assist with payroll processing and employee expense reimbursements.
- Ensure compliance with tax regulations and financial policies.
2. Office Administration & Operations
- Manage office supplies, equipment, and general office operations.
- Handle correspondence, scheduling, and document management.
- Ensure smooth day-to-day administrative functions.
3. Human Resources Support
- Maintain employee records, contracts, and HR-related documentation.
- Assist in recruitment, onboarding, and training processes.
- Support employee engagement initiatives and HR compliance.
4. Compliance & Risk Management
- Ensure adherence to company policies and procedures.
- Assist with internal and external audits.
- Handle confidential information with discretion.
5. Reporting & Coordination
- Prepare financial and operational reports for the Managing Director.
- Coordinate with external stakeholders, such as auditors, banks, and suppliers.
- Support management in strategic decision-making.
6. General Support & Other Duties
- Provide administrative and accounting support to various departments as needed.
- Identify areas for process improvement and operational efficiency.
- Perform other tasks as assigned by the Managing Director.
Qualifications & Skills:
- Bachelorโs degree in Accounting, Finance, or a related field.
- 3+ years of experience in accounting and office administration.
- Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High level of accuracy, attention to detail, and problem-solving skills.
- Ability to work independently and as part of a team.
