The Times Group invites applications from suitably qualified and experienced candidates to fill the position of Executive Assistant tenable at the Head Office, Ginnery Corner in Blantyre.

The job

The Executive Assistant will report to the Managing Director and the position demands a vibrant personality with a diverse skill set to deliver a variety of responsibilities supporting the office of the Managing Director and other administrative duties. The primary responsibilities of the position-holder are given hereunder:

  • Maintaining the Managing Director’s diary and appointments.
  • Coordinating business meetings, taking and producing minutes.
  • Making travel arrangements (both local and international) for the Chairperson, Managing Director and Executive Management.
  • Coordinating quarterly Board Meetings in liaison with the Legal Counsel.
  • General maintenance of premises in order to promote hygiene, health and safety of employees and other stakeholders.
  • Assisting in management of human resources records
  • Assisting in staff leave management.

Person Specifications

The ideal candidate MUST meet the following:

  • Bachelor’s Degree in Administration or a related field plus secretarial qualification.
  • Minimum of 5 years practical working experience.

In addition to the above, the Executive Assistant must have the following personal and professional skills:

  • Team player and ability to work independently with minimum supervision.
  • Excellent oral and written communication skills and ability to communicate at all levels throughout the organization.
  • Excellent organizational and multitasking abilities.
  • Computer literacy, proficiency in MS Office.
  • Proficiency in administrative tasks.
