Position Title: Finance and Admin Assistant
Duration: Temporary contract for four months
Reporting to: Finance and Administration Officer
Location: Mzuzu, Malawi
BACKGROUND
Peace Parks is a non-profit conservation organisation that specialises in conservation at scale through the development of transfrontier conservation areas and the long-term management of key protected areas in partnership with government conservation agencies and communities within these landscapes. We currently focus on the development of five priority transboundary landscapes measuring over 65 million hectares throughout southern Africa and the co-management of ten national parks and protected areas covering over 5.2 million hectares.
DUTIES AND RESPONSIBILITIES
General administration
- Ensure the day-to-day smooth running of the office and maintain a suitable working environment in the office.
- Monitoring and replenishment of office supplies, stationery and utilities.
Assist with maintaining the accounting records and reconciliations
- Maintaining an adequate filing system for all financial documents updated monthly.
- Input/integration of monthly bank transactions into the accounting system.
- Record and reconcile staff advances and claims, ensuring proper supporting documentation is provided.
- Photocopying documents for VAT claims submissions.
- Photocopying of finance documents for submission to Peace Parks Foundation.
Support/back-up for finance functions
- Assist with payment processing, banking, and cash disbursements.
- Assist with payment procedures and reconciliations for suppliers and vendors.
- Petty cash (foreign and local) management.
- Assist with asset management and reconciliation reports.
Procurement
- Maintaining an adequate filing system for all procurement-related documents.
- Assist with the purchase of supplies including stationery and fuel for the field.
MINIMUM REQUIREMENTS
- At least a Diploma in Accountancy or Business Administration, with strong finance/accounting knowledge;
- Registered with the Institute of Chartered Accountants in Malawi;
- Knowledge of accounting policies and principles;
- At least three (3) yearsโ work experience in finance and administration, of which at least two years working closely in support of donor-funded project activities;
- Capable of working independently;
- Excellent organisational skills;
- Excellent interpersonal skills and ability to establish and maintain effective working relations with people;
- Excellent communication skills (oral and written); and
- Good computer skills and proficiency in standard computer applications (MS Word, MS Excel, etc.) and database packages; experience in sage/pastel and handling of web-based management systems is a plus.
