Overview

Finance and Administrative Officer

An exciting opportunity has arisen within Z+ Plus (Investments) Ltd, a startup company based in Lilongwe.

 

Key Responsibilities
Under the supervision of the Managing Director, the Finance and Administrative Officer will be responsible for the following:

โ€ข Support the Managing Director in ensuring the adherence of Z+ Plus Pharmacyโ€™s operations to Z+ Plus (Investments) Ltdโ€™s rules and regulations.

1. Financial management:

  • Lead the budgeting process (compiling, managing, monitoring, and tracking budget (e.g. organizing invoices, checks, & other financials) and preparing periodic financial/cash flow reports, and any other reports deemed necessary
  • Monitor budgets and expenditures and contribute to budget planning and revision;
  • Ensure the financial transactions are authorized, recorded, filed with adequate supporting documentation, and maintained;
  • Prepare and process all accounting transactions such as disbursement, cash receipts, journal entries and advances which are in accordance with Company finance and accounting policies and procedures;
  • Ensure efficient payments and disbursements according to approved policy and procedures
  • Prepare and submit timely and reliable financial updates, reports and statements;
  • Ensure timely submission of monthly requests, reconciliations and financial statement reports;
  • Maintain accurate bank records of cash withdrawals and deposits;
  • Support the conduct of financial audits of the Company.

2. Human resources management:

  • Support the Managing Director in administering recruitment of staff;
  • Support the Managing Director and staff in operational aspects of establishing a network of experts;
  • Create, update and maintain organized files and records related to staff, ensuring
    confidentiality of records;

3. Marketing activity management:

  • Establish marketing goals to ensure growth in market share and profitability of products and/or services;
  • Input into strategic development of plan to support commercial, capitalization and communication objectives;
  • Develop and execute marketing plans and programs, both short and long term, to ensure the growth in profit and expansion of company products and/or services;
  • Communicate with outside advertising agencies on ongoing campaigns;
  • Develop and recommend pricing strategy for the Organization which will result in the greatest share of the market over the long run;
  • Conduct marketing surveys on current and new product concepts;

 

4. Administration, procurement and activity management:

  • Manage the procurement of goods and services in accordance with the Company rules and procedures;
  • Provide administrative, logistical, and procurement support to the team;
  • Ensure proper inventory management, including periodic stock counts;
  • Ensure proper function of archive and documentation system;
  • Ensure maintenance of up to date register of assets;
  • Work with the Pharmacy team to forecast financial transaction needs and support in identification and contracting of suppliers based on project rules and regulations;
  • Lead interactions with suppliers;
  • Ensure all regulatory filings are performed in a timely manner (e.g. taxation);

5. Any other duties that may be assigned from time related to the role.

 

Minimum Requirements:

  • A bachelorโ€™s degree in accounting, finance and/or administration with at least 5 years of
    relevant work experience in financial management and business administration.
  • Alternatively, a diploma in accounting, finance and/or administration with at least 7 years of relevant work experience in financial management and business administration.

 

Knowledge, Skills and Experience:

  • Experience in the pharmaceutical sector is desirable but not a must;
  • Work experience with startups and/or family businesses will be an added advantage;
  • Excellent Microsoft office skills are necessary; especially in excel for functions relevant
    to financial management and accounting;
  • ERP Accounting knowledge will be an asset;
  • Must be conversant with financial and accounting terminology;
  • Excellent communication skills in English language;
  • Good time management skills and ability to work in fast-paced environment;
  • Must be a team player โ€“ must be able to work effectively with colleagues from diverse
    cultural backgrounds and technical expertise;
  • Must be dynamic, self-starter, able take initiatives and innovate.
