Logistics and Procurement Officer
Location: Blantyre, Malawi
Overview:
AGE Africa seeks a dedicated and detail-oriented Logistics and Procurement officer to support implementing our comprehensive scholarship and life skills programs across our partner schools in Malawiโs central and southern regions. This role is exciting for a talented, dynamic, and creative professional in a growing organization. Facilitating procurement, logistics, and supply chain activities efficiently and effectively is crucial to ensuring the smooth operation and success of AGE Africaโs programs.
This position is based in AGE Africaโs Malawi Headquarters in Blantyre, where the implementation will take place, and the Officer will be required to have exclusive residency in Blantyre.
AGE Africa continues to expand its programming in Malawi and seeks individuals excited and motivated by this challenge.

AGE Africa provides life-changing opportunities to girls and young women in rural Malawi through secondary and tertiary scholarships, life-skills education, alumnae engagement, leadership development, and a national radio program. Our multi-pronged approach equips our scholars with the resources, knowledge, and skills they need to self-advocate for their own life choices.
AGE Africa was founded in 2005 as a scholarship fund in response to the overwhelming need for financial support for adolescent girlsโ education in Malawi. AGE Africa partners with rural communities in Malawi to deliver a high-impact multi-pronged approach that harnesses individual agency for girls by providing comprehensive scholarships and life skills programming. AGE Africa believes adolescent girls are key to achieving womenโs socio-economic empowerment as the experiences, knowledge, skills, and agency acquired in adolescence have important implications for an individualโs prospects in adulthood.

Key Responsibilities:
Logistics Management:
- Coordinate and manage the transportation of goods and materials required for program implementation.
- Oversee the distribution of educational materials, supplies, and equipment to partner schools and ensure timely delivery.
- Maintain and manage the organizationโs vehicle fleet, ensuring all vehicles are in good working condition and properly maintained.
- Arrange and supervise travel logistics for staff and program beneficiaries, including booking accommodations and transport.
Procurement:
- Oversee the implementation of procurement policies and procedures in line with AGE Africaโs high standards and donor requirements.
- Conduct market research to identify reliable suppliers and assess their capabilities.
- Source, negotiate, and manage contracts with suppliers and service providers to ensure the best value for money.
- Prepare and process purchase orders and ensure timely delivery of goods and services.
- Maintain accurate records of all procurement activities and transactions.
Inventory Management:
- Maintain and update an inventory management system for all program supplies and equipment.
- Conduct monthly, quarterly and annual stock checks and audits to ensure accurate inventory records.
- Manage the storage and distribution of program supplies, ensuring they are safely and securely stored.
Compliance and Reporting:
- Ensure all procurement activities comply with AGE Africaโs policies and donor requirements.
- Prepare and submit monthly, quarterly and annual reports on procurement and logistics activities to Programs Team.
- Support the finance team in the preparation of budgets and financial reports related to procurement and logistics.
Support to Programs:
- Work closely with program teams to support their logistical and procurement needs.
- Assist in the planning and execution of program events, workshops, and training sessions.
Qualifications and Experience:
- Diploma in Logistics, Supply Chain Management, Business Administration, or a related field from an accredited institution.
- At least three (3) years of experience in logistics and procurement, preferably in a development or non-government organization setting.
- Demonstrated understanding of procurement and logistics best practices and regulations.
- Excellent organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
- Proficient in using computer packages, including PowerPoint, Word, and Excel.
- Strong written and oral communication skills.
- Ability to work independently and as part of a team.
