Background
Banja La Mtsogolo (BLM) is a Malawian Non-Governmental Healthcare Organization established in 1987. BLM provides quality Family Planning and Reproductive Healthcare including HIV/AIDS information and interventions. BLM is a senior member of the MSI Reproductive Choices Partnership which works in 37 countries globally. BLM exists to improve quality of life in Malawi through family planning and reproductive health care services. BLM serves over 800,000 clients annually and makes a significant contribution to national family planning objectives. The organization has national coverage, operating through 25 clinics, and numerous outreach clinic sites.

Receptionist (1 Position)
Duty Station: Lilongwe Support Office
Reporting Line: Senior Procurement and Facilities Officer

Job Purpose:
The Receptionist will be responsible for providing a communication link between the Support Office and the external environment and to provide acceptable hospitality to visitors.

Key Responsibilities
• Taking all incoming calls, taking messages or passing the calls to appropriate members of staff.
• Making outgoing calls on behalf of staff when requested to do so.
• Dispatching mail, and parcels by courier and other means.
• Receiving and distributing mail and parcels to appropriate recipients.
• Reporting faults of telephones – direct lines / extensions.
• Handling visitors to the Support Office including candidates for interviews.
• Typing documents as requested from time to time.
• Reconciling courier invoices and telephone bills.
• Following up on missing parcels with couriers by giving them way bill number.
• Any other tasks and duties as assigned by the line manager

Skills, Qualification and Experience
• At least a Diploma in Business Administration.
• 1 – 2 years’ experience as a receptionist.
• Knowledge of customer service principles and practices.
• Good communication (Oral/written) skills.
• Good interpersonal Skills
• Computer application skills
• Be pro-choice
