TERMS OF REFEREENCE FOR AN ANNUAL REPORT WRITER – 2023 ANNUAL REPORT

Introduction

Bhubesi Pride Foundation (BPF) in Pheleni Village, T/A Mtema in Lilongwe, is a local NGO that works

through the use of Sports for Development and Supplementary Education, with out of and in school young

people (10 – 30 years) to equip them with skills, knowledge and experience to rise above social, economic

and health challenges to fulfil their life potential and uplift themselves and their communities.

BPF Programs

 

1. Sports for Development (S4D)

Clubs for Development (C4D): Targeting over 1,200 young people (10 – 30 years) annually to participate in BPF Malawi rugby and netball clubs. 200 young people directly enrolled through player trials and train at BPF Mtema Community Center. 1,000 young people involved through the communities in BPF’s catchment area.

Pass It Back: Partnered with ChildFund Rugby to deliver an integrated S4D program combining rugby/netball and life skills. Over 2 seasons, 52 (27 female) Coaches delivered 1,100 integrated sport and life skills sessions and 6 competitions to 114 teams and 1,651 players (52% female) in 5 communities in Lilongwe.

 

2. Supplementary Education

Youth Discuss (Achinyamata Tikambilane): Supporting 918 young people (15 – 25 years) with access to Sexual Reproductive Health Rights (SRHR)/ Comprehensive Sexuality Education (CSE) information across 6 Secondary schools and the BPF Mtema Community Center.

Life skills education: Through the C4D program, BPF provides young people with access to career guidance, entrepreneurship, mindset change and other youth orientated information.

Assignment Background

To achieve its mandate, BPF is looking for a consultant or a group of consultants to support the design and layout of its comprehensive 2023 Annual Report.

 

Objective:

BPF seeks the services of dynamic and highly skilled individual consultant(s) to put together its 2023 Annual Report including highlights of the previous year achievements. Under the supervision of the Executive Director, the Consultant (s) will be responsible for drafting and finalizing the 2023 Annual Report in the given timeframe. The incumbent will consult with BPF members of staff for direction on source content and methodologies.

 

Scope of Work:

  • Initial discussion with BPF Executive Director on annual theme and direction of design
  • Review background materials, including but not limited to, activity, project and impact reports
  • Corroborate gathered information through one-on-one (telephone/in-person) and discussions with BPF stakeholders
  • Draft concept for the design of the BPF 2023 Annual Report, including at least 2 options for design approach and colour scheme
  • Design and layout 1 Annual Report document (approx. 20-30 pages of word text with hyperlinks, images, and tables/ infographics)
  • Submission of the final web-ready version (PDF) and the core graphic elements (fonts, illustrations and other design elements developed).

 

Duration

The Consultant (s) shall be required to submit the final design within four weeks of the assignment starting.

 

Consultant Profile

The consultant (s) should have:

  • Not less than 3 years’ experience in designing and laying out documentation of organizational reports or similar publications using professional design software (e.g. Photoshop, InDesign, Illustrator) are essential
  • Evidence of strong research and excellent writing skills in English;
  • Ability to work under time-sensitive deadlines
  • Excellent interpersonal skills and flexible attitude
  • Knowledge of and/or prior collaboration with Sports for Development/ Youth Development organisations on design initiatives is a plus
  • Experience in producing NGO reports;
  • Strong interpersonal skills, able to communicate and work with diverse people.

 

Mode of Application

Technical Proposal

  • An expression of interest stating their experience and similar work.

  • Clear breakdown of the financial proposal including all the chargeable taxes.

  • Total quote for the assignment

Reporting

The Consultant (s) will report to the Executive Director.
